Silver Package Wedding Day Director

 

The following is only a brief description of this package:

A (1) hour meeting to discuss the type of celebration that the couple is planning

  • Supply referral list of quality vendors for client contact
  • Offer etiquette guidelines for the celebration
  • Review with the client all signed vendor contracts (1) hour
  • Prepare a timeline for events and confirm details (2) hours
  • Preview ceremony program with officiant
  • Reminder call to all vendors two weeks before the wedding date
  • Itinerary faxed to all vendors the week of the wedding
  • Rehearsal assistance and coordination (1hour)
  • Available for recommendations and suggestions (i.e. vendors, etiquette, advice etc.)
  • Review and confirm all contracts and vendor information.
  • Create a comprehensive wedding day schedule for wedding party, family and vendors.
  • Orchestrate ceremony rehearsal and distribute wedding day schedule.
  • Complete wedding day emergency supplies provided for Client's use.
  • Supervise and direct all events the day of the wedding (approx. 8 hours).
  • Oversee all vendor commitments and manage timeline on wedding day.

 

Wedding Day (Up to 4 hours of coordination included*)

  • Arrive at site two hours prior to the ceremony
  • Distribute flowers and pin boutonnieres
  • Transport pre-arranged designated items from the ceremony to the reception site
  • Coordinate reception activities as planned with vendors
  • Distribute final payments from client to vendors
  • Gather keepsakes and personal items according to a prepared checklist
  • 10% off Wedding Invitation Ensembles and Accessories when ordered through Martin’s  Creative Designs.

 


Gold Package Event Management

Includes Wedding Day Director package plus:

 

Pre-Wedding Planning

  • Provide initial consultation to develop wedding and reception ideas (2hours)
  • Provide experienced professional vendor contracts
  • Provide etiquette guidelines
  • Meet to discuss the final details of the wedding day celebration (2 hours)
  • Meet with site coordinator (by phone or in person) to finalize details for the ceremony and reception
  • Review the banquet event order with the catering manager
  • Compile bridal information for a customized wedding plan including end of evening details.
  • Create a wedding weekend itinerary for vendors, family members and bridal party
  • Create a list to wedding day vendor contract names and numbers

Rehearsal

  • Assist at rehearsal, directing the flow of the ceremony
  • Provide instructions for the family, bridal party and couple
  • Inform all ceremony participants as to the wedding day schedule of events
  • Receive marriage license to be given to the officiant on wedding day
  • Collect special items (toasting goblets, cake cutting set, guest book, programs, bridal portrait) to transport to the wedding for the bride
  • Collect vendor payments to be distributed at reception
  • Instruct ushers on duties for guest seating

Wedding Day

Coordinator available for up to six hours on the wedding day, beginning two hours prior to the wedding ceremony.

  •  Arrive two hours prior to ceremony
  • Provide emergency kit for last minute needs
  • Place bridal portrait on easel provided by reception site or photographer
  • Arrange guest book and pens for guest sign in
  • Distribute bouquets and pin corsages and boutonnieres
  • Assist with dressing and final details
  • Direct wedding ceremony
  • Remind all ceremony participants of times and places in order to begin promptly
  • Coordinate musical cues with wedding party entrance and exit
  • Direct ushers with regard to recessional duties

Reception (Up to 6 hours of coordination included*)

Coordinate the agenda of the reception (toast, first dance, cake cutting, bouquet and garter toss)

  • Serve as liaison between the couple and the vendors
  • Distribute payments to vendors
  • Check with designated persons regarding transport of couple’s personal belongings
  • Arrange with staff to have food boxed for bride and groom for departure

  • Direct guests to participate in couple’s departure
  • Assist staff to assemble wedding gifts on cart
  • Gather personal keepsakes according to pre-arranged checklist and give to the designated person(s) to remove from reception site

Please note that the bride and groom will book all services with vendors

Rehearsal & Day of Wedding Services Package

Do you have all of your vendors’ picked out, contracts signed, and most everything else prepared? Do you want to sit back and relax on your wedding day and leave all of the logistics to someone else (not your friends and family)? We’ll assist with the ceremony rehearsal and handle all of the wedding day-of details per your specifications.

  • Attend ceremony rehearsal
  • Create timeline of events based on your contracted services
  • Wedding day directing, including ceremony and reception
  • Direct vendors at ceremony and reception sites and be their point of contact
  • Arrive at ceremony site two hours prior to wedding
  • Deliver Bride and Groom’s wedding attire to ceremony site

·       Send vendors itinerary/timeline for wedding day

·       Fully execute all plans in a timely manner

·       Three (3) two-hour in-person meeting sessions (as determined by client) leading up to wedding to review any event details, address concerns, provide etiquette guidance or for any other reason. This is in addition to meeting with bridal couple for vendor meetings.

·       Create a wedding expense sheet

·        Provide bridal notebook for quick reference

·        Submit engagement announcement to selected newspapers (three maximum, cost of ad additional and paid by client)

·        Assist in selection of ceremony and reception sites

·        Provide vendor referrals

·        Have color swatches available

·         Set up vendor meetings

·         Accompany bridal couple to vendor meetings (three meetings per vendor category)
